How We Handle Your Personal Data

 

Why is information recorded about you?

If you are interested in attending our events or being involved with the Festival as a performer, contractor or volunteer, we need to communicate with you and to ensure you we meet our obligations to you and/or work effectively with you. To enable us to do this, you need to tell us who you are and how to contact you, and which events and activities you are interested in attending or contributing to. Depending on your role, we may need additional personal information to ensure our compliance with legal requirements/health and safety.  Online payments are taken using third party systems so we do not collect financial information other than how much you have paid us and what the payment was for. Our website does not use cookies.

 

What is your information used for and is it kept securely?

It is in our legitimate interests to use your information to enable us to carry out our work, retaining it only as long as is necessary. This provides the lawful basis for our information processing.

 

Your information is kept secure in accordance with our legal obligations. If written records are in a room which could be accessed by others, they are locked away when not in use. If held on electronic devices, these are password protected.  Your information is disclosed only to those involved in the running of  Saltburn Festival and in organising activities you choose to take part in.

If we need to process information about anyone we know to be under 18 or otherwise vulnerable, we will apply additional safeguards including ensuring that the person holding that information has a relevant DBS check.

 

Information Sharing

We may need to share your details with other individuals and organisations to facilitate projects and pieces of work you are involved with. We will do this only with your specific consent, and we will ask them to respect the privacy of your information and only keep it for as long as is necessary to facilitate the event or activity you are involved in.

In the unlikely event that Police, courts, tribunals or other official bodies request information about you, we will only disclose this either with your consent, or where it is necessary to ensure your health and safety,  or where we have a legal obligation to do so.

 

How long is this information kept?

We have to process your personal information for as long as you wish to be involved with or attend or be informed about Saltburn Festival. The amount of information we need to hold will depend on your role and the level of your involvement. We will not hold any information longer than is necessary if your role changes.  Your records are kept secure in accordance with our legal obligations, either locked away from unauthorised access (manual records) or on password protected devices (electronic records).

 

Can I see my records?

The GDPR allows you to find out about information we hold about you, on paper and computer records.  If you make a  ‘Subject Access Request’, we will provide a copy of your records, free of charge, within one month.  We will aim to comply more quickly wherever possible. This applies to all your personal records, although in certain circumstances access to your records may be limited, for example, if the records you have asked for contain information about another person.

Your records can be electronically transmitted directly to another organisation if you ask us to do this. 

 

Do I have other rights?

The GDPR allows you other rights; for example to:

  • Object to the continuing use of your personal information, e.g. if it is causing, or is likely to cause damage or distress

  • Prevent your information being used for direct marketing

  • Object to decisions being made by a computer/machine, rather than a person

  • Have your records corrected if wrong, and/or ask us to restrict processing of your information i.e. say you want us to stop using it.

  • Ask us to erase your records (sometimes referred to as “the right to be forgotten”), although there may be lawful reasons that override your request

Please note that you are always entitled to withdraw any consent that you have previously provided. You don't need to give reasons for your choices, but you should be aware that it may not be possible for you to continue your involvement with Saltburn Festival if we cannot hold essential information.

You can also complain to the Information Commissioner’s Office (ICO) if you are unhappy with how we have used your data.
